Exchanging emails such as reports, tasks information, notification details, lead alerts or more being one of the important task in Salesforce Application, Salesforce offers two options for it.

  • Using Email Template and SingleEmailMessage Class
  • Create VF Page and send Emails using Apex

With the dynamic approach towards application development, Salesforce Lightning Component enables the user to define the records that need to be retrieved and the Salesforce Email Template to email to a specified user. Generic in nature, at the design time itself when it is added to a page via attributes, the configuration of the Lightning Component is specified.

Lightning Component is available for all objects with activity enabled, such as leads, contacts, person accounts, opportunities, cases, and custom objects enabling you to send rich text emails with attachments to customers, colleagues, or any valid email address directly from the records.

Note: when the Enhanced Email is not enabled, a task record is created instead of an email record by the Salesforce.

Available in Lightning Experience (Essentials, Professional, Enterprise, Performance, Unlimited, and Developer Editions)

User Permissions Needed:

  • To send an email: Send Email
  • To send an email or use any template with attachments: Access to the file that needs to be attached.

While composing an email, using an Email Template saves time by speeding things up, standardizes the email as per the company’s norms and ensuring the messaging consistency. It makes sure that the right message is being sent to the lead/ customer and while increasing productivity in the progress. Merge Fields in the Email Templates enable you to send emails including the field data from the Salesforce records such as contacts, lead opportunities instantly. There can be multiple templates designs and customized to be used to send introductory emails, standard welcome letters, shout outs, notification emails and more.

Note: In Lightning Experience, the Lightning Email Templates that are global have their related entity type as contact, lead or nothing or it belongs to the category chosen in the email’s Related To field such as account or opportunity. An email template’s related entity needs to be chosen while creating emails from the Email Template Page.

Steps to use an Email Template:

  • Select the folder from the ‘Select Folder’ dropdown menu.
  • Based on the folder selection, select the Email Template from the ‘Select Template’ dropdown menu resulting in the subject field and the mail body is automatically populated with the selected email template. (The subject field and the mail body can be customized).
  • Add email addresses in the recipient field.
  • Click Send.
