Salesforce provides a variety of standard component quick actions that can be used in Lightning Experience.

We have a standard activity to create tasks.

However, we may build a task that relates to a single contact and account by using a standard action.

But if we are looking to create a task for all contacts in that account. Then we need to think about custom development but do not worry, this is also doable with easy automation.

In this blog today, we will demonstrate how we can create a task for contacts associated with a community account using flow. So, let’s get started!

Steps to follow for creating tasks on all contacts related to an account

To create a task for all contacts related to an account in Salesforce Community, you can follow these steps:

Step 1: Go to Setup and enter “Flow” in the quick find box. Select “Flows” under Process Automation.

Step 2: Click on “New Flow” to create a new flow.

Step 3: Choose the “Screen Flow” option.

Step 5: Create a Text variable, Set the API name of the variable as “recordId”.

Step 6: Create a record variable to access all the contacts related to the account.

Step 7: Create the screen component to display related contacts, to a user can select or deselect the contacts

  • To display the contacts we are using a data table component.

Step 8: Create the second screen component to enter the Task value

  • Create Text input to enter the subject
  • Create Date input to the due date.
  • Create a Picklist to select status and priority.

Step 9: Iterate the loop over selected contacts to create the task for all selected contacts.

Step 10: Assign all input values to the Task variable

Step 11: Use the element to create the record, Flow output should be as below

Step 12: Create a new action button in the Account object to create the task.

Step 13: Add the action button to the Salesforce Community page where you want the task creation functionality to be available.

Step 14: Test the flow by creating a test record and verifying that the task is created for all the contacts related to the account.

  • Click on Task
  • Select the contact for whom the task is to be created.
  • On the next Screen Enter the details for the Task.
  • The task will create for all selected contacts.
